IMPORTANT INFORMATION

ABOUT THE FORMS!!

 

On this site, you will find our on-line registration and hotel reservation process as well as separate, printable forms for registration and hotel reservation. You can choose which way you would like to register for the conference and reserve a hotel room. The on-line process is simple, and you can be certain that the material you enter is exactly what we read. If you prefer to use the printable forms, you may do so, and then either mail them to us or fax them to us. Remember, a hotel reservation is NOT VALID without a conference registration!

If you use the on-line system, DO NOT FORGET TO ALSO RESERVE YOUR HOTEL ROOM ON LINE!! It is very easy, and you will be directed to the hotel form on line as soon as you complete the conference registration process. The on-line hotel system also shows you a map where the hotel is, and enables you to give room preferences.

If you use the on-line system, be sure to type in your name and institution for the name badge. It will be printed exactly as you type it. Use umlauts if you wish. There is a diacritical chart that enables you to do that. It is very simple. Do not forget to reserve a hotel room when you do the on-line registration. It is right there, as well. It is also easy to do. The on-line system gives you an instant receipt for your conference registration. You can print it out from your own computer. And, as soon as we send in the hotel information to the hotel, the hotel will then send you their confirmation of your room reservation. We don't confirm the hotel room - the hotel does. So, you get an instant registration receipt and a later receipt from the hotel for the room. If you want to change a hotel reservation after you have made it with us, just call the hotel. They will look it up and change it for you. If you still are not sure that the hotel has your reservation, just call them, not GSA.

Once you close out of the on-line system, you are out of it, and your order has been processed and charged. Therefore, you cannot get back in to "change" the order. There is no change when something has already been charged. Anything else would be a new order. You can change an existing order by faxing us a change request. Please print CHANGE REQUEST on the top of the faxed form. There is a charge for a change, because it has to be separately hand-processed and reconciled. For this year only, the charge is only $10 plus the cost of any difference in the two orders. Please understand that the new system is designed to cut down on staff employment and expenses, which are reflected in dues and fees, but also to make absolutely certain that the information we record is exactly what you want and what you type.

Try not to duplicate registrations.

Please do not use BOTH systems, with a registration on one and a hotel reservation on the other, such as on-line registration and paper hotel reservation. We have to try to hand-reconcile all of this. You can imagine how complicated that can become. And, of course, please do not mail in the forms and then also fax them. Then, we have two sets, which could duplicate charges.
